Welcome Non-Profits Selling Food
All Hanover County’s non-profit area clubs, organizations and church groups are invited by the Ashland Strawberry Faire Committee to participate in this year’s Faire. The following information is for non-profits who will be serving food, including those who are working with commercial food vendors who are donating a percentage of booth profits to the non-profit organization.

Fees:
| 10′x10′ Booth Space-$75 | One booth for non-profits who are preparing and selling food themselves. |
| 10′x20′ Booth Space-$150 | Two booths for non-profits who are preparing and selling food themselves. |
| 10′x20′ Booth Space – $250 | For non-profits using a commercial vendor to prepare food, with a percentage of profits donated to the non-profit organization. Volunteers from the non-profit are required to participate in the work of the booth. |
All applications must be received by April 15, after that date a $25 processing fee will be applied.
Before May 1 contact the Health Department to obtain the Temporary Food Establishment Permit, to displayed on your booth. Fill out form http://www.vdh.virginia.gov/LHD/Chickahominy/documents/2011/pdfs/TempFoodEstApp8-22-11.pdf and mail or e-mail to Hannah Crew – Food Safety Technical Consultant – Chickahominy Health District – Virginia Department of Health – 12312 Washington Highway – Ashland, VA 23005. Health inspections will be done Saturday 8am – 10am.
Read Hanover County link – Memo from the Hanover Fire Marshall about requirements for Cooking Tents, Canopies and Membrane Structures. Vendors must be available for inspection of their site by the fire marshal at 5pm on Friday before the Faire.
Faire Access Permits: Will be passed out at the new “Welcome Booth” (Henry/Patrick Entrance) Friday 12n-9pm and Saturday 5am-8am. Saturday at 8am entrance to the streets will be closed for the Faire to start at 10am, this is a change!
Strawberry Food Competition: Judges will come around between 10am-12n; make sure you fill out entry form at the ASF Information Booth. Prizes 3rd $25 / 2nd $50 /1st prize $75
Remember…
- Virginia State Sales Tax is the responsibility of the Vendor.
- Tents are recommended, due to possible rain and/or heat.
- Fees are non-refundable; this is an outdoor show with NO RAIN DATE.
- The Strawberry Faire Committee is not responsible for the liability of vendors or their wares.
- Volunteers from the non-profit organization are REQUIRED to participate in booth work if the organization is using a commercial food vendor.
- Don’t forget to print out a Vendor Checklist to bring along to the Faire.
Once we have received your application a confirmation e-mail will be sent and your application will be reviewed. If for any reason we can not accept your application, you will be notified at that time and all fees fully refunded. After May 1 the application processing will be completed, then booth numbers assigned and with final information be e-mailed to you before May 15.
Setup: Friday 12n – 9pm before the Faire/Saturday 5am – 8am the day of the Faire. “Access Passes” and “Booth Signs” will be available at the NEW Vendor Welcome Booth (on the corner of Henry and Patrick Streets) during these times.
Tents are recommended, due to possible rain and/or heat. Tents will need to be anchored with buckets of sand, cement, or cement blocks. The set-up checklist and the Faire map are available online. Please review Faire regulations and applications for additional information.
