Important Information for Food Vendors

Please read the Virginia Department of Health and Hanover County Fire Marshall requirements below.  You must be available for Health and Fire Inspections by 7:00am on Faire day (no food sales until approved by both).  The Health Department will receive a list of vendors selling any type of food.

Important

  1. When you submit your application, PayPal will collect your debit or credit card information.  However, we will not “capture” the payment until you are approved by the Food Directors to participate.
  2. Depending on what type of Food Vendor you are, we are asking you to upload up a copy of your VDH sticker or Mobile Unit Permit, Temporary Food Establishment (TFE) application, or Agricultural permit to your application.
  3. Food vendors operating appliances that create smoke or grease-laden vapors must obtain an operational permit and
    inspection from the Hanover County Fire Marshal’s Office prior to the event. Vendors operating without the required
    permit are subject to enforcement action, up to and including a “Class 1 misdemeanor.”
  4.   Tents –
      • Multiple tents separated by less than 12 feet cannot exceed 900 sq. ft. in aggregate area.Maintain a safe distance from buildings and parked vehicles.Tents must not obstruct fire lanes, fire department access, fire hydrants, or exit pathways.Tents over 900 square feet require a fire permit and inspection. Tents under 901 square feet do not require a fire permit when used for assembly by fewer than 50 people (SFPC 3103.1).
      • Open flame or cooking that produces grease-laden vapors is prohibited under tents used for assembly or where the public is allowed.
      • Cooking tents should be separated from any other tent by at least 20 feet.
      • A minimum 10-pound ABC fire extinguisher (or appropriate Class K extinguisher for deep-fat frying) should be present and accessible.

5. LP-gas cylinders must be:

        • Secured in an upright position,
        • Protected from vehicle movement and public access, and
        • Located at least 10 feet from cooking appliances and tents.Cooking Under Tents or Canopies (SFPC 3104.15)

Full-Service Food Vendors

Mobile/Permanent – Mobile Unit already permitted by the Health Department. Required by the Health Department:  Menu and copy of Mobile Unit Permit (or yellow sticker).

Tent/Temporary – 1) Un-permitted Mobile Unit preparing food on-site OR 2) Tent or Canopy preparing food on-site.  Required by the Health Department:  Temporary Food Establishment Application (including menu).

  • Please bring a menu with all food prices (sign must be at least 24″ X 36″).
  • Please bring trashcans, bags, extension cords and specifically required fire-extinguisher.
  • You are responsible for the collection and removal of trash to designated dumpsters. Failure to do so may result in a fine and/or denial for future participation.
  • Refunds will not be issued for failure to pass inspection and/or removal from the event.

Agriculture Vendors

Food prepared and packaged off-site (providing samples or not). Required by the Health Department:  Agriculture Inspection or permit.

Vendors who have an Agriculture Permit must attach a copy of their latest inspection to our Food Vendor Application.

Vendors selling food prepared and packaged off-site must contact the Health Department.  The Health Department will receive a list of vendors selling any type of food items.

Farmer’s Market or “Cottage Law” Vendors

Farmer’s Market or Cottage Law Vendors are allowed to participate in the Faire.  For more information, please visit this LINK to find list of acceptable food items.

The Health Department charges a $40.00 application fee.

May 1st Deadline for Health Department

The Faire requires that all paperwork be submitted to the Health Department by May 1, 2026.  Starting May 2, 2026, we will cancel registrations and charge a $25 administration fee.

The Fire Marshal charges $150.00 for an operational permit which is valid for one (1) year from the date issued.  Visit the Mobile Food Vendor page, then click “Permit” tab to learn more.

Special Note from our Deputy Fire Marshal about Generators and Fuel Storage (SFPC Chapters 3 & 6)

Generator requirements for all vendors:

  • Generators should be located a minimum of 20 feet from tents, canopies, and booths when possible.
  • Generators must be placed so they do not obstruct fire lanes or pedestrian egress.
  • All fuel containers should be:
    • Approved safety containers,
    • Stored at least 20 feet from tents and cooking areas, and
    • Secured to prevent tampering or accidental contact.
  • No refueling should occur while the generator is running.
  • Extension cords should be rated for exterior use and sized appropriately to prevent overheating or tripping hazards.

Since desserts – especially STRAWBERRY desserts – are so popular, we are designating a space at the Faire called Sweet Lane.

Strawberry “Goodie” Contest

Join the fun by entering the Strawberry Goodie Contest!  Food, desserts and drinks are eligible. If you would like to participate, let us know by 10:00am on Faire day.

$100 prize for both a Commercial Food Vendor and a Non-Commercial Food Vendor.  Judges will evaluate strawberry taste, visual appeal, and originality.
